The Handpay Protocol

10 min read

A lockup is the one moment where documentation and composure pay directly. Handled correctly it takes minutes and produces a clean record; handled poorly it costs an hour and leaves gaps in your file.

What triggers reporting

For slot machines and bingo, a single win of $2,000 or more triggers a Form W-2G, effective 1 January 2026 and indexed for inflation thereafter. The figure is the amount of one win, before subtracting the wager.

A session total does not trigger anything, no matter how large. Seven wins of $300 are not a reportable event; one win of $2,000 is.

At the machine

Do not touch the machine after the lockup. Photograph the screen showing the win, the machine number and the credit meter before an attendant clears it.

Have identification and taxpayer information ready. Withholding of 24% applies above $5,000 or where taxpayer information is not provided.

Into the record

Log the win as the largest single-spin win for that session so the W-2G flag applies to the right event. Keep the screen photo — the app seals its fingerprint with the session.

Store the physical W-2G and reconcile it against the handpay register in your year-end pack. This app records; it does not give tax advice — your accountant decides how it is reported.

This week on the floor

  • · Rehearse the sequence: stop, photograph, identify, log.
  • · Check that your largest single-spin win is being entered on every session, not just handpay sessions.
  • · Open the handpay register in the app and confirm it matches your paperwork.

One win of $2,000 or more is the event. A session total never is.
